Getting Started as a Vendor

What this does: Set up your vendor account, add products to your catalog, and start receiving orders from buyers.

Overview

This guide walks you through the essential steps to get your vendor account ready: completing your profile, adding products, inviting buyers, and creating pricelists.

Who this is for: Users who want to sell products to buyers on StockApp.

What happens in the system

  • Your company profile becomes visible to buyers you connect with

  • Products you add appear in your catalog but are not shared until you create pricelists

  • Buyers you invite receive email invitations to connect with your StockApp

  • Orders from buyers appear in your Orders section

  • Product updates propagate automatically to all buyers who have those products in their pricelists

What does NOT happen

  • Adding products does not share them: Products remain private until you explicitly add them to a pricelist and share that pricelist.

  • Inviting buyers does not give them product access: Buyers must also be assigned to a pricelist to see your products.

  • Creating a pricelist does not notify buyers: You must share the pricelist with specific buyers or generate a shareable link.

Prerequisites

  • A StockApp account with vendor permissions

  • Your product information ready (names, prices, descriptions, SKUs)

  • Company details for your profile

Step 1: Complete Your Company Profile

Set up your company information so buyers know who they're working with:

  1. Navigate to Settings (gear icon in left sidebar)

  2. Under the Company section, click Company info

  3. Fill in your company information:

    • Display name: Your business display name (shown to buyers)

    • Company logo: Upload your company logo

    • Primary phone: Your business contact number

    • Business location: Address details (city, state, postal code, country)

  4. Click Save settings

Your company name and logo will appear to buyers when they view your products.

Step 2: Add Your First Products

You have several options for adding products. Click Add product in the top toolbar, then click the dropdown arrow to see all options:

Option A: Search and Add Products

  1. Click Add product > By part #, name, or URL

  2. Search for products by name, part number, brand, or URL

  3. Select products from search results

  4. Confirm to add them to your catalog

  5. Set your pricing and inventory

Option B: Import Products from a Spreadsheet

  1. Click Add product > From your spreadsheet

  2. Upload your file or paste product data directly

  3. Pick the products you want to add

  4. Map columns to product fields

  5. Review and confirm import

Option C: Create a Product Manually

  1. Click Add product > Create from scratch

  2. Fill in product details (title, SKU, price, inventory, etc.)

  3. Click Create

Option D: Reshare Vendor Products

If you source products from other vendors on StockApp:

  1. Browse their catalog by selecting their company from the company selector at the top

  2. Find products you want to resell

  3. Click the products to select them

  4. Click Sell to add them to your catalog

  5. Set your own pricing (markup or fixed price)

Step 3: Invite Buyers

Connect with buyers to start sharing your products:

  1. Navigate to Directory (people icon in left sidebar)

  2. To invite by email, type the buyer's email into the Quick invite with email... field at the top

  3. To import multiple contacts at once, click Import contacts and choose from Google, LinkedIn, WhatsApp, or CSV file

Buyers receive email invitations to connect with your StockApp. Once they accept, you can share pricelists with them.

Step 4: Create Your First Pricelist

Pricelists organize products and control what buyers see:

  1. Navigate to Home (your products)

  2. Select the products you want to include (click checkboxes)

  3. Click Share in the top toolbar

  4. Click Create pricelist

  5. Give the pricelist a name (e.g., "Standard Catalog" or "New Customer Pricing")

  6. Choose sharing method:

    • Assign to buyers: Select specific buyers or buyer groups

    • Create shareable link: Generate a link anyone can access

  7. Click Create or Share

Step 5: Start Receiving Orders

Once your products are shared and buyers have access:

  1. Buyers browse your catalog

  2. They add items to cart and create purchase orders

  3. You receive orders in the Orders section

  4. Review order details

  5. Update order status as you process them (Pending β†’ Confirmed β†’ Shipped β†’ Delivered)

  6. Communicate with buyers through order comments or messaging

Additional Features

Test Your Catalog from a Buyer's Perspective

Use the Impersonate buyer feature to see exactly what buyers see:

  1. Click Impersonate buyer in the top navigation

  2. Select a buyer or buyer group

  3. Browse your catalog as they would see it

  4. Exit impersonation mode when done

Organize Products with Tags and Categories

  • Tags: Apply flexible labels to products (e.g., "New Arrivals", "Clearance", "Featured")

    • Go to Settings > Tags to create and manage tags

  • Categories: Organize products in a hierarchical structure

    • Go to Settings > Categories to create category trees

Common Issues

Issue: Buyer Cannot See Products

Symptom: A buyer says they cannot see any products after connecting.

Solution: Verify the buyer is assigned to a pricelist that contains products. Adding products to your catalog does not automatically share them. You must create a pricelist and assign the buyer to it.

Issue: Order Not Appearing

Symptom: A buyer says they placed an order but you do not see it.

Solution:

  • Check you are viewing the correct StockApp (if you have multiple)

  • Check the Orders section - orders appear there, not in the product view

  • Verify the buyer actually submitted the order (they may have items in cart but not checked out)

Issue: Product Updates Not Reflecting

Symptom: You updated a product but buyers still see old information.

Solution: Product updates propagate in real-time. Ask the buyer to refresh their page. If the issue persists, verify the product is actually in the pricelist shared with that buyer.
