Overview

The Directory is your central hub for managing all business relationships in StockApp. It organizes your professional network into three main areas:

  • My Contacts - Personal business contacts imported from external sources

  • Companies - Companies you have business relationships with (Buyers and Vendors)

  • Teammates - Members of your own company who can access your StockApp account

What happens in the system

  • Importing contacts scans your external address book and matches email addresses against existing StockApp users.

  • Sending a connection request notifies the recipient via email. They must accept before the relationship is active.

  • Connecting with a company gives you access to their shared pricelists and allows you to place orders (if they're a vendor) or receive orders (if they're a buyer).

  • Inviting a teammate sends an email invitation. They must create an account or sign in to join your organization.

  • Assigning an owner to a company does not notify the company - it's an internal designation for your team.

What does NOT happen

  • Importing contacts does NOT send them messages - It only scans and matches. You must explicitly invite or connect.

  • Connecting with a company does NOT share your products - You must separately share pricelists with them.

  • Adding a teammate does NOT give them full access - Their permissions depend on the roles you assign.

  • Deleting a contact does NOT end the business relationship - Company connections remain until explicitly disconnected.

  • Connection requests do NOT auto-accept - The other party must approve each request.

Prerequisites

Before you start:

  • An active StockApp account

  • Logged in to your company account

  • Contact information ready to import (if importing from CSV)

Understanding the Directory

The Directory has three main tabs:

Each tab serves a different purpose in managing your professional network.

Step-by-Step Instructions

Step 1: Navigate to the Directory

From anywhere in StockApp, click the Directory icon (people icon) in the left sidebar navigation.

The Directory page displays three tabs at the top:

  • My contacts - Shows your imported personal contacts

  • Companies - Shows companies you do business with

  • Teammates - Shows members of your organization

Step 2: Explore the Companies Tab

Click the Companies tab to see all the companies you have business relationships with.

The Companies section is organized with two main filters:

Company Type:

  • Buyers - Companies that purchase from you (your customers)

  • Vendors - Companies that supply products to you (your suppliers)

Connection Status:

  • Connected - Active business relationships

  • Pending approval - Connection requests awaiting your approval

  • Invited - Companies you've invited who haven't responded yet

For each company, you can see:

  • Company name and logo

  • Assigned owner (team member responsible for this account)

  • Primary contact person

  • Business Partner ID

  • Address and phone number

  • Payment terms and credit limit

  • Current balance and payment status

Step 3: View Your Vendors

Click the Vendors button to switch from viewing buyers to viewing your suppliers.

The Vendors view shows the same information structure but for companies that supply products to you.

Step 4: Import Your Contacts

To grow your network, click the Import contacts dropdown button in the top-right corner.

You'll see four import options:

  1. Google - Import from your Google contacts

  2. LinkedIn - Import from your LinkedIn connections

  3. WhatsApp - Import from your WhatsApp contacts

  4. CSV file - Import from a spreadsheet file

When you import contacts, StockApp will:

  • Match your contacts against existing StockApp users

  • Show you who's already on the platform

  • Allow you to send connection requests to found users

  • Keep a record of contacts not yet on StockApp

Step 5: Manage Your Teammates

Click the Teammates tab to view and manage members of your organization.

The Teammates view displays:

  • Name - Team member's name and username

  • Assigned StockApps - Which company accounts they can access

  • Email - Their email address

  • Phone - Phone number (if provided)

  • WhatsApp - WhatsApp number (if provided)

  • Created - When they joined

  • Roles - Their permissions (Super Admin, User Admin, Vendor Manager, etc.)

  • Groups - Which groups they belong to

At the top of the Teammates tab, you'll see auto-assignment settings:

  • Vendor Auto Assignment - Automatically assigns new vendors to team members

  • Buyer Auto Assignment - Automatically assigns new buyers to team members

To add a new team member, click the Invite teammates button in the top-right corner.

Step 6: Quick Invite via Email

From the My Contacts tab, you can quickly invite anyone using the Quick invite with email field at the top of the page. Enter their email address to send an invitation.

Step 7: Search and Filter

Each tab has a search bar to help you find specific contacts, companies, or teammates:

  • My contacts: Search by name or email

  • Companies: Search by company name

  • Teammates: Search by name, username, or email

Use the filter buttons to narrow down your view:

  • In My Contacts: All, Connected, Pending approval, Invited, Not connected

  • In Companies: Buyers/Vendors + Connected/Pending approval/Invited

Common Issues

Issue: Can't find a company in the Directory

Symptom: A company you do business with doesn't appear in your Companies list

Solution:

  1. Check both the Buyers and Vendors sections - the company might be listed in the other category

  2. Look in the "Pending approval" or "Invited" sub-tabs if the relationship is new

  3. Use the search bar to search by company name

  4. The company may not have a StockApp account yet - consider inviting them

Issue: Imported contacts don't show as "on StockApp"

Symptom: After importing contacts, none of them show as connected to StockApp

Solution:

  1. Contact matching is based on email addresses - ensure your contacts have accurate email information

  2. Your contacts may not have StockApp accounts yet

  3. Consider inviting them using the Quick invite feature

Issue: Can't assign a teammate to a company

Symptom: Unable to set an assigned owner for a buyer or vendor

Solution:

  1. The team member needs appropriate permissions (role) to be assigned

  2. Check if the team member has access to the relevant StockApp

  3. Contact your admin if you need permissions adjusted

Issue: Can't invite teammates

Symptom: The "Invite teammates" button doesn't work or invites fail

Solution:

  1. Verify you have User Admin or Super Admin permissions

  2. Check that the email address is valid and not already associated with your organization

  3. The person may already have a pending invitation - check with them to accept it
